Cash Memo Format: Meaning, Samples and the GST Rules (2026)
What a cash memo is, the fields it must carry, three copyable samples with the totals worked out, how it differs from a tax invoice, bill of supply and receipt, and when GST law says a cash memo is not enough.
AI overview
Quick answerA cash memo is a bill issued for a sale paid on the spot, in cash or by UPI. It shows the seller, the date, a serial number, the items, quantities, rates and the total, and it doubles as proof that the customer has paid.
- Shops not registered under GST can use a simple cash memo for every sale.
- GST-registered shops cannot replace a tax invoice with a cash memo. Their "cash memo" must be a tax invoice (if they charge GST) or a bill of supply (if they don't), simply marked "Payment: Cash".
- Small-sale relief: a registered shop need not issue a separate invoice for a sale under ₹200 to an unregistered customer who does not ask for one, as long as it issues one consolidated tax invoice at the end of the day (Rule 46).
- Must-have fields: shop name and address, memo number, date, item, quantity, rate, amount, total, and "Paid" or "Received with thanks".
- Keep copies for at least 72 months from the due date of the annual return for that year, if you are GST-registered.

A customer walks in, buys dal, oil and a packet of biscuits, pays in cash and wants "a bill". In most Indian shops, what they get is a cash memo: a small slip torn from a printed pad, with the items, the total and the shop's stamp. It is the most common business document in the country, and also one of the most misunderstood, because the word "cash memo" means different things to a kirana owner, an accountant and a GST officer.
This guide gives you a clean cash memo format you can copy, three filled-in samples with every total checked, and the one GST rule that decides whether a cash memo is enough for your shop or whether you need a proper tax invoice.
What is a cash memo?
The cash memo meaning is simple: it is a memorandum of a cash sale. A credit sale gets an invoice and is paid later; a cash sale is paid at the counter, so the bill and the acknowledgement of payment are the same piece of paper.
That is why cash memos are everywhere in retail:
- kirana and general stores billing walk-in customers,
- medical stores, hardware shops and stationery shops,
- sweet shops, bakeries and small restaurants,
- repair shops and tailors collecting payment on delivery.
"Cash" here really means paid now. A sale paid by UPI, card or cash at the counter is the same kind of sale, and the same memo works for all three. Just write how it was paid.
Cash memo vs tax invoice vs bill of supply vs receipt
These four get mixed up constantly. The difference matters, because GST law only recognises some of them.
| Document | Who issues it | What it says | Is GST charged on it? |
|---|---|---|---|
| Cash memo | Any shop, usually one not registered under GST | Items sold and paid for on the spot | No |
| Tax invoice | GST-registered seller charging GST | Items, HSN, taxable value, CGST/SGST or IGST | Yes |
| Bill of supply | GST-registered seller not charging GST (exempt goods, or a composition dealer) | Items and value, no tax shown | No |
| Receipt | Anyone receiving money | Money received, against what | Not a bill for goods at all |
A receipt is the one people confuse most. It acknowledges money, not a sale: an advance, a part-payment on an udhaar account, rent. Under GST, an advance for a future supply needs a receipt voucher, which is a different document again. A cash memo already includes the "paid" acknowledgement, so you don't issue a separate receipt for a counter sale.
For a full walk-through of the three bill headings and when each applies, see our guide to the bill format.
When a cash memo is not enough: the GST rule
Here is the part most template sites skip.
If your shop is not registered under GST, a plain cash memo is fine. You charge no GST, you show no GST, and the memo must not say "Tax Invoice" or show a GSTIN. Most small kirana stores are in this position until turnover crosses the GST registration limit.
If your shop is GST-registered, the law (Section 31 of the CGST Act) requires a tax invoice for every taxable sale, with the fields listed in Rule 46: your GSTIN, a consecutive serial number, HSN code, taxable value, the rate and amount of CGST and SGST (or IGST), and so on. Calling it a "cash memo" does not change that. A pad that says "Cash Memo" with only items and a total is not a valid tax invoice, even if the shop collected GST inside the price.
So for a registered shop, a correct "cash memo" is simply a tax invoice with Payment mode: Cash. The GST invoice format guide lists every field.
Two exceptions are worth knowing:
- Bill of supply instead. A registered shop selling only exempt goods (loose rice, fresh vegetables, milk) or a composition dealer issues a bill of supply under Rule 49. A composition dealer must also print "composition taxable person, not eligible to collect tax on supplies" on it.
- The ₹200 relief. Under Section 31(3)(b) and the proviso to Rule 46, a registered shop may skip the individual invoice when all three are true: the sale is under ₹200, the buyer is not registered, and the buyer doesn't ask for a bill. You then issue one consolidated tax invoice at the close of each day covering all such sales. If the customer asks for a bill, you must give one.
What a cash memo format must contain
Whether it is a non-GST cash memo or a tax invoice paid in cash, these are the fields to print.
For every cash memo
- Shop name, address and phone number.
- The words "Cash Memo" (or "Bill") at the top.
- A serial number that never repeats, for example
CM-0412. - The date of the sale.
- Customer name, optional for walk-in sales, useful for regulars.
- A table of item, quantity, rate and amount.
- Total, with any discount shown before the total.
- Amount in words, which stops a ₹500 total being "corrected" to ₹1,500.
- Payment mode: cash, UPI or card.
- "Received with thanks" and the shop's signature or stamp.
Add these if you are GST-registered
- Your GSTIN and the heading "Tax Invoice" (or "Bill of Supply").
- HSN code for each item.
- Taxable value, GST rate, and CGST + SGST for a sale within your state, or IGST for a sale to another state.
- Place of supply, and the customer's GSTIN if they are registered.
Sample 1: Kirana cash memo (shop not registered under GST)
Copy this layout into a notebook, a printed pad or a spreadsheet. All prices include everything; there is no GST line because the shop is not registered.

Sample 2: Cash memo from a GST-registered shop (done properly)
This is the same kind of counter sale from a registered general store in Karnataka. Because it charges GST, the document is headed Tax Invoice and marked paid in cash. Rates follow the slabs in force since 22 September 2025: biscuits, ghee and toothpaste are at 5%, and a charging cable stays at 18%.

| Total | 1,160.00 | 45.25 | 45.25 |

Notice what changed compared with Sample 1: GSTIN, HSN, taxable value and a tax split. That is the difference between a cash memo and a valid tax invoice. If you need help with the arithmetic, our guide on how to make a GST bill on mobile goes through it step by step.
Sample 3: Medical store cash memo
Pharmacies price at MRP, which already includes GST, so the bill shows the MRP amount and works the tax backwards. They also print the batch number and expiry date for every medicine. For prescription-only medicines, they record the patient's and the doctor's names as the drug rules require. Most medicines are at 5% GST since September 2025, but check the rate for each product's HSN.

| # | Item | Batch | Expiry | Qty | MRP (₹) | Amount (₹) |
|---|---|---|---|---|---|---|
| 1 | Paracetamol 650 mg, strip of 15 | PC2611 | 08/2028 | 2 | 31.50 | 63.00 |
| 2 | Cough syrup, 100 ml | CS0925 | 03/2028 | 1 | 126.00 | 126.00 |
| 3 | Vitamin C tablets, strip of 15 | VC1402 | 11/2027 | 2 | 52.50 | 105.00 |
| 4 | ORS sachet | OR7730 | 06/2028 | 6 | 21.00 | 126.00 |
| 5 | Crepe bandage roll | BD0418 | 12/2029 | 1 | 105.00 | 105.00 |
| Total (incl. GST) | 525.00 |
Tax included at 5%: taxable value ₹500.00, CGST 2.5% ₹12.50, SGST 2.5% ₹12.50. Rupees five hundred twenty-five only.
To work out the tax inside an MRP, divide by 1 plus the rate: ₹525 ÷ 1.05 = ₹500 taxable, so the GST is ₹25.
Cash memo book vs a digital cash memo
Most shops still use a cash memo book: a printed pad with the shop's name, serial numbers already printed and a carbon copy underneath. It is cheap and needs no electricity. It also causes the same problems at every counter:
- Totals added by hand go wrong on busy evenings, and nobody checks the carbon copy.
- Carbon copies fade and pages go missing, which breaks the serial number trail an auditor looks for.
- The pad can't work out GST, so registered shops end up with memos that are not valid tax invoices.
- There is no daily total without adding up every slip.
A billing app fixes all four. With BillZap, you add items, and the app numbers the bill automatically, adds it up and shares it as a PDF or on WhatsApp. The heading follows the tax: Tax Invoice when you charge GST, Bill of Supply for a registered shop billing without tax, and plain Bill for a shop that is not registered. When GST applies, it fills in HSN codes and splits CGST and SGST, or IGST. You can mark the bill paid, print a UPI QR on it for customers who would rather scan, and use the app in Hindi and many other Indian languages. It runs offline on Android, so it works even when the internet doesn't.
An honest note on what it is not. BillZap does not give you a cash memo format in Word or Excel to download and print, and it does not make receipts, quotations or estimates. It makes the bill itself, in the app, which is usually the point of looking for a template in the first place. If you specifically want a blank Word file, any word processor will let you recreate Sample 1 in a few minutes.

How long to keep cash memos
If you are GST-registered, Section 36 of the CGST Act requires you to keep your accounts and records, which includes copies of every invoice and bill, for 72 months (six years) from the due date of the annual return for that year. For a sale in October 2026, that runs well into 2033. Income tax rules also expect business records to be kept for several years.
Practical habits:
- Keep carbon books in order, by serial number, in a dry box labelled by month.
- Never tear out or reuse a number. If a memo is spoiled, write "Cancelled" across it and keep both copies.
- If you bill on a phone, back up regularly so a lost phone does not mean lost records.
Common cash memo mistakes
- A registered shop using a "Cash Memo" pad with no GST details. It is not a tax invoice, however neat it looks.
- An unregistered shop printing "Tax Invoice" or adding "GST" to the bill. You cannot collect GST without a GSTIN.
- Gaps or repeats in serial numbers, usually from two pads used at once.
- Discount taken after tax. On a tax invoice, the discount comes off the taxable value before GST is worked out.
- No amount in words, which makes figures easy to alter.
- No payment mode, so cash and UPI sales can't be matched at the end of the day.
- Skipping the end-of-day consolidated invoice when relying on the ₹200 relief.
A clean bill with the shop's name and a running number also makes the shop look more professional, which helps repeat business. There are more ideas like this in our guide to increasing kirana store sales.
FAQ: Cash memo format
What is the meaning of a cash memo?
A cash memo is a bill issued when goods or services are paid for on the spot. It lists what was sold, the quantity, rate and total, and it also acts as the customer's proof of payment.
Is a cash memo valid under GST?
For a shop not registered under GST, yes: a cash memo is a perfectly valid bill. For a GST-registered shop, no: every taxable sale needs a tax invoice with the Rule 46 details, or a bill of supply if no tax is charged. A registered shop's "cash memo" should be a tax invoice marked "Payment: Cash".
What is the difference between a cash memo and an invoice?
A cash memo is for a sale paid immediately. An invoice can be for a sale paid now or later, and a GST tax invoice must carry GST details such as GSTIN, HSN and the tax split. In everyday use, a cash memo is a simple invoice for a cash sale.
Is a cash memo the same as a receipt?
Not quite. A receipt only acknowledges money received, for example an advance or a payment against an old credit bill. A cash memo records a sale and acknowledges the payment for it, so a counter sale needs no separate receipt.
Do I have to give a bill for a sale under ₹200?
If you are GST-registered, you may skip the individual bill when the sale is under ₹200, the buyer is unregistered and doesn't ask for one, but you must issue one consolidated tax invoice for all such sales at the end of the day. If the customer asks for a bill, you must issue it.
Where can I get a cash memo format in Word or Excel?
Many template sites offer Word and Excel files, and you can also recreate Sample 1 above in a few minutes. If you would rather not fill templates at all, a billing app like BillZap creates the numbered bill and totals on your phone and shares it as a PDF, though it does not export Word or Excel files.
How long should I keep cash memo copies?
GST-registered businesses must keep records for 72 months from the due date of the annual return for the year the sale relates to. Keeping them for at least that long is sensible for any shop.
The bottom line
A cash memo format is simple: shop details, a serial number, the date, items with quantity and rate, the total, how it was paid, and "received with thanks". The rule that matters is the GST one. If you are not registered, a plain cash memo is all you need. If you are registered, your cash memo has to be a proper tax invoice or bill of supply, marked paid in cash.
